Online Meeting Scheduling
Scheduling a meeting online is now one of the simpler tasks in any workday. The tools available handle everything from finding a common time to sending the final invite.
Calendar syncing and automated time slot selection have replaced the email chains that used to consume hours. Apps also display meeting analytics on dashboards, add reminders, and include the meeting time and location in every notification.
Tools like FrontDeskChat, Zoom, Calendly, Doodle, HubSpot, and Acuity make scheduling a large meeting with dozens of attendees a matter of minutes. Once you set up the app, you share a link and the rest happens automatically.
How online scheduling works
There are two main approaches depending on how your group operates.
Voting polls: You propose 3-4 time options and attendees vote on which works for them. The app shows the majority winner and you confirm it. This method works well for ad-hoc groups and first-time meetings.
Calendar syncing: The app reads everyone’s calendars and shows overlapping free times. You pick one and invites go out automatically. This method is faster but requires everyone to share calendar access.
Once a meeting is confirmed, the app updates your Google Calendar and sends attendees an automated email with a link to join the online session. Many apps also send reminders 24 hours and 1 hour before the meeting.
Group meetings made manageable
These tools are particularly valuable for in-person events being organized remotely, and for group meetings where participants are in different cities or time zones. They connect people across the world while cutting the coordination time down to minutes rather than days.
