How to share a Google calendar event/reminder on WhatsApp?
Google Calendar cannot send event reminders or notifications to WhatsApp natively. There’s no button to “share to WhatsApp” from the event details. However, you have several workarounds depending on your use case.
Option 1: Manual message (quickest)
- Open the event in Google Calendar.
- Copy the details (title, date, time, description).
- Open WhatsApp and paste it to a contact or group.
Works but not scalable if you have many clients.
Option 2: Share your calendar link
- Set your calendar to free/busy visibility (so details stay private).
- Get your public calendar link.
- Send the link via WhatsApp.
Clients can click and see your availability. Good for recurring “book a time with me” workflows.
Option 3: Use automation (Zapier/IFTTT)
Set up a trigger: whenever you create an event with a specific label, automatically send a WhatsApp message to a number.
Example: Create an event tagged “client_notify” → WhatsApp message with event details sent to client.
Requires:
- Zapier or IFTTT account (free or paid)
- WhatsApp Business API setup
- A bit of technical configuration
Option 4: Use a scheduling platform (best for consultants)
Tools like Calendly, Acuity Scheduling, Motion, or Housecall Pro:
- Sync with your Google Calendar
- Offer WhatsApp reminders/confirmations
- Clients book directly
- Automatic WhatsApp notifications sent to you and the client
Recommended for solo consultants:
Option 4 (scheduling platform) is usually best because:
- Clients get automated WhatsApp reminders (reducing no-shows)
- You get WhatsApp notifications of new bookings
- It prevents double-bookings
- Professional, scalable workflow
The manual copy-paste approach (Option 1) works fine for occasional use if you only have a few clients.
