How to manage Google Calendar while using multiple emails on the phone and integrating it with the employer’s email?
If you have multiple Gmail accounts on your phone, you can control which account’s calendar events appear in Google Calendar by toggling calendar visibility. This allows you to show only work events, only personal events, or both, depending on what you need at any moment.

How to toggle calendar visibility in Google Calendar (mobile):
Step 1: Open Google Calendar settings
Open the Google Calendar app on your iPhone or Android phone.
Tap the three horizontal lines (hamburger menu) in the top-left corner.
The sidebar menu opens, showing your accounts and calendars.
Step 2: Find your multiple email accounts
In the sidebar, you should see your email accounts listed. Look for sections like:
- Your primary Gmail account name
- Your employer’s email account (if added separately)
- Any other email accounts added to the phone
Under each email account, you will see a list of calendars (usually “Calendar” or other calendar names).
Step 3: Toggle calendar visibility
Next to each email account’s calendar, you will see a checkbox.
Check the box to show that account’s calendar events in your calendar view.
Uncheck the box to hide that account’s calendar events.
Changes take effect immediately. The calendar view updates to show only the calendars you have checked.
Quick example:
- You have two accounts: personal@gmail.com and work@company.com
- During work hours, uncheck personal@gmail.com and check only work@company.com
- You will see only work events on the calendar
- After work, uncheck work@company.com and check personal@gmail.com
- You will see only personal events
Managing calendar visibility:
Show work only:
- Uncheck your personal email account’s calendar
- Check only your work email account’s calendar
Show personal only:
- Uncheck your work email account’s calendar
- Check only your personal email account’s calendar
Show both:
- Check both email accounts’ calendars
- You see events from both, typically color-coded or distinguished by account
Show nothing:
- Uncheck all calendars (though this leaves your calendar view empty)
Important notes:
- Hiding does not delete: Unchecking a calendar only hides its events. The events remain stored in that calendar and will reappear when you check the box again.
- Non-destructive: This is a view preference. You can toggle as often as you like without any risk to your data.
- Applies to your phone only: This setting only affects what you see on your phone. Your calendars on the web (Google Calendar at calendar.google.com) are unchanged.
- Different from disabling: Toggling off a calendar is different from disabling it in iOS/Android Settings. Toggling off a calendar only hides it in Google Calendar’s view.
Setting up multiple email accounts on your phone (if you haven’t already):
If you have not yet added your employer’s email account to Google Calendar on your phone:
Open Google Calendar on your phone.
Tap the three horizontal lines (hamburger menu).
Look for an Add account or Settings > Add account option.
Select Google.
Sign in with your employer’s email address.
After signing in, the calendar from that email account will appear in the sidebar and you can toggle it on or off as needed.
Alternative: iOS-specific setup (if you have not added the account yet)
If you use an iPhone and have not set up the employer’s email account:
Go to iPhone Settings > Mail > Accounts.
Tap Add Account.
Select Google.
Sign in with your employer’s email.
Make sure the Calendars toggle is ON.
The employer’s calendar will then appear in both the Apple Calendar app and Google Calendar app.
In Google Calendar, you can toggle this calendar on or off as described above.
Pro tips:
- Create separate calendars: If your employer has multiple projects or teams, you can create separate calendars within the work email and toggle them independently.
- Use color coding: In Google Calendar (web version), you can assign different colors to calendars from different accounts, making them easier to distinguish.
- Set notification rules: You can set different notification settings for work and personal calendars, so you’re alerted differently based on the type of event.
